Roles & Responsibilities:


1. Vendor & Tech Management

  • Source, onboard, and manage vendors for IT, internet, facility services, and office
  • infrastructure.
  • Oversee SaaS subscriptions and renewals; maintain software license compliance and asset
  • registers.
  • Negotiate contracts, track SLAs, and ensure timely support from vendors.
  • Liaise with internal IT for laptop procurement, inventory audits, and disposal planning.


2. Travel, Visa & Logistics

  • Manage end-to-end travel logistics (flights, hotel bookings, ground transport) for
  • employees and leadership.
  • Coordinate business visa applications: documentation, consulate appointments, and
  • agency follow-ups.
  • Ensure travel policies are followed and maintain clear documentation for reimbursements
  • and audits.
  • Organize team relocations, executive visits, and logistics for external guests or candidates.


3. Office Operations & Facilities

  • Supervise daily operations: housekeeping, pantry, security, and vendor SLAs.
  • Maintain seating plans, desk allocations, and support hybrid/WFH equipment setups.
  • Manage access control systems (biometrics/cards) and visitor logs.
  • Implement and maintain workplace health & safety protocols.


4. Events & Offsite Coordination

  • Plan logistics for team events, leadership offsites, town halls, and workshops.
  • Coordinate with venues, travel partners, caterers, and internal stakeholders.
  • Ensure event-day readiness with backups for power, connectivity, and equipment.


5. Cross-functional & Admin Support

  • Collaborate with HR and IT for employee onboarding/offboarding: desk setups, kits, documentation.
  • Handle ad-hoc admin tasks: courier, shipping, vendor payments, and repair requests.
  • Maintain documentation for audits, policy compliance, and procurement history.
  • Support internal communication on facilities, travel updates, and office notices.


Desired Candidate Profile


  • 2+ years of experience as an Executive Assistant, Administrative Support, or in a similar role
  • Exceptional organisational and multitasking skills with a high level of attention to detail.
  • Good written and verbal communication skills
  • Proficient in managing travel arrangements and visa processing
  • Tech-savvy with hands-on experience in Microsoft Office Suite
  • Self-starter with a proactive approach and the ability to work independently
  • Collaborative mindset, strong multi-tasking abilities and adaptability to dynamic work
  • environments
  • Ability to manage time effectively and operate independently
  • Agile mindset to pivot between different roles and responsibilities as needed
  • Any bachelor’s degree.
